DMA LOGISTICS UK LTD

PRIVACY NOTICE | WEBSITE & CUSTOMER ENQUIRIES

Privacy Notice | Effective 15 October 2026

1. Who we are

DMA Logistics UK Limited (“DMA Logistics”, “we”, “us”) is the controller of personal information covered by this notice. Company number: 08726999. Registered office: Unit 1, Greenhill House, Green Hill Crescent, Watford WD18 8JA, United Kingdom.

For privacy enquiries or to exercise your rights, email operations@dmalogistics.co.uk.

2. What personal information we collect

Depending on how you interact with us, we may collect your name, contact details, delivery and collection addresses, shipment details, information about goods, identity documents where needed, payment information, and correspondence with us. The previous notice also refers to date of birth, previous addresses, call information and location information where relevant.

When you request a freight quotation through our website, Facebook or Instagram lead form, we may collect your name, email address, phone number, shipment origin and destination, type of goods, approximate weight and dimensions, and preferred freight service.

We may also receive information about recipients or other people involved in a shipment, information from third parties, and website usage information including cookies and technical interaction data. Please provide third-party personal information only when appropriate and inform those people where required.

3. How we use your information

We use personal information to respond to enquiries and provide quotations; arrange and manage courier, freight and shipping services; communicate shipment updates; verify identity where necessary; process payments; handle complaints; improve services and website performance; prevent fraud; and meet customs, tax and other legal obligations.

If you submit a Meta (Facebook or Instagram) lead form, we use the details you provide to contact you about your freight enquiry and, where appropriate, prepare a quotation. Submitting a freight enquiry does not by itself mean you have agreed to unrelated promotional marketing.

We may send service-related messages needed for your shipment. Promotional messages are handled separately, in accordance with applicable marketing rules and any choices you make.

4. Our lawful bases

Depending on the purpose and circumstances, we rely on one or more of the following lawful bases under UK data protection law: taking steps at your request before entering a contract or performing a contract; complying with legal obligations; our legitimate interests in operating, securing and improving our services and responding to business enquiries; and consent where required, including for certain marketing or cookies.

Where special category personal information is genuinely required, we will identify an appropriate additional legal condition before processing it.

5. Who we share information with

We may share relevant information with carriers, freight forwarders, logistics partners, suppliers and subcontractors; payment and technology providers; fraud-prevention providers; and customs, tax, law-enforcement or regulatory authorities where lawful or necessary. Our previous notice also identifies social media platforms and certain analytics and mapping services.

We share only what is appropriate for the relevant purpose and require suitable safeguards from providers acting on our behalf. Facebook and Instagram lead forms are provided through Meta platforms, which also process information under their own applicable terms and privacy notices.

6. International shipments and transfers

International shipping can require us to share shipment and recipient details with overseas carriers, customs authorities and other parties in destination or transit countries. Some service providers may also process information outside the UK. Where UK data protection law requires safeguards for an international transfer, we will use an appropriate transfer mechanism or another lawful basis.

7. How long we retain information

We generally retain customer records for six years after a customer stops using our services, as described in our previous notice. For quotation enquiries, including Facebook and Instagram leads that do not become customers, we retain information only for as long as reasonably necessary to respond, follow up and meet any applicable legal or record-keeping requirements. Retention periods may vary depending on the record and circumstances.

8. How we protect information

We use appropriate technical and organisational measures intended to protect personal information from unauthorised access, loss, misuse or disclosure. Access is limited according to business needs. No method of transmission or storage can be guaranteed completely secure.

9. Cookies and website analytics

Our website may use cookies and similar technologies to operate and understand website usage. For further information, please see our cookie policy at https://www.dmalogistics.co.uk/legal/cookie-policy.

10. Your privacy rights

Subject to applicable legal conditions and exceptions, you may have rights to access your information, correct inaccurate information, request deletion, restrict processing, object to certain uses, and receive or transfer certain information. Where we rely on consent, you can withdraw it at any time without affecting prior lawful processing.

To make a request, email operations@dmalogistics.co.uk. We will generally respond within one month; a lawful extension may apply for complex or numerous requests.

11. Complaints

Please contact operations@dmalogistics.co.uk if you have concerns about our handling of your personal information. You also have the right to complain to the UK Information Commissioner’s Office (ICO) at https://ico.org.uk.

12. Changes to this notice

We may update this notice as our services or legal requirements change. We will publish the latest version on our website and may communicate significant changes through appropriate channels.
